CUSTOM COASTERS • ARTWORK POLICY

Artwork, trademarks
& copyright.

This policy applies to artwork supplied to WestTech by customers. Customer-submitted artwork may be used only when the customer owns the applicable rights or has permission from the rights holder to reproduce that material for the requested product. WestTech-created artwork shown elsewhere on the site is part of WestTech’s own design library.

Core rule for customer submissions: If the logo, name, image, character, photograph, illustration, or other artwork belongs to someone else, do not submit it unless you have authorization to use it for this project.

1. What customers may submit

WestTech may work with original artwork you created or own; your own business, band, club, organization, event, or personal branding; and third-party material for which you have a license or written authorization that permits the requested reproduction and merchandise use.

2. Protected material includes more than logos

Trademark and copyright protection can apply to names, logos, word marks, slogans, artwork, characters, photographs, illustrations, and other creative or brand-identifying material. Changing colors, tracing, redrawing, simplifying, or making small changes does not automatically make protected material available for unrestricted use.

3. Customer submissions that require authorization

  • Professional, collegiate, or other sports team names, logos, league marks, mascots, or protected branding.
  • Company names, logos, trademarks, product branding, or promotional artwork owned by another business.
  • Movie, television, comic, game, music, character, celebrity, or entertainment artwork owned or controlled by another party.
  • Photographs, illustrations, graphics, or artwork copied from websites, social media, search results, merchandise, or other sources when you do not own or control the reproduction rights.

4. Customer certification

When submitting artwork for a Custom Coaster project, the customer must confirm that they created or own the artwork, or that they have permission from the applicable rights holder to reproduce it for the requested project. The customer is responsible for the accuracy of that confirmation and for obtaining any needed permissions.

5. WestTech reserves the right to decline a project

WestTech reserves the right to reject, pause, or cancel any customer-submitted artwork request when ownership or authorization is unclear or when the requested design appears to use protected third-party material without permission. Customer certification does not require WestTech to manufacture a design.

6. Questions or rights-holder complaints

If WestTech receives a credible complaint or request from a rights holder concerning submitted artwork, WestTech may suspend design or production, remove related public-facing material, request proof of authorization, or cancel the affected project while the issue is reviewed.

7. WestTech does not grant rights to submitted artwork

Acceptance of a project, preparation of a proof, or production of an item does not grant the customer any trademark, copyright, licensing, or other ownership rights in third-party material. Authorization to use protected material must come from the applicable rights holder.
